The Managing DirectorThe Office provides overall leadership, management, control and coordiantion of RSDA at diffrent levels (i.e. board, organisational and projects levels), in line with the policies of the organisation. He/She should be able to produce bankable plans, proposals and reports, and have the ability to manage finances and fundraise for the organisation. |
The Accountant is responsible for the administration of the finances and assets of the association. The office is responsible for systems of accounting and to keep and carry out correct and proper financial management of RSDA's funds. The main challenge under this office is to be equipped with tools for practical, administrative and financial issues and expertise encountered in the day to day running of NGOs business. The officer should be able to establish accounting systems and should be linked to the appropriate computer softwares that could ease accounting, control, monitoring and reporting for the requirements of funding partners and Board.
Programmes operation is the principal responsibility of thei office. The Programmes' Director's responsibily is to plan, manage, direct implementation and report about the progress of th programmes. The office controls procument of all materials and equipment required for programme activities through placement of requisitions to the Logistics officer. The office is also responsible for the distribution of the procured materials needed for the implementation of relevant activities/measures of programmes, as well as the accountability of field staff when it comes to use of resources and funds.
Logistics Ofiice is responsible for maintaining and monitoring the use of vehicles to ensure safe and efficient running of transport. The office arranges insurance, registration, checks, vehicle services, repairs and log books for the organisation. The office also maintains petty cash. Other duties include adherence to procument and stores procedures and record keeping.
This office is responsible for day to day supervision, administration and co-ordiantion of field operations in the project areas. The Regional Officer is accountable on th use of funds and resources at field level.
At the field level, the animators are the people directly in contact with the programme beneficiaries. They are key people, who facilitate implementation of the projects activities in the assigned areas. They are the primary source of all information from the association to the beneficiaries and vice versa. They are also better placed to carry out training needs assessment. The animator should be a good communicator, facilitator and community mobiliser.
The oofice is charged with the production of training materials to be used for farmers' training. The material should be at a level, which may be used by farmers to train otherfarmers. There is need for skills and knowledge on training needs assessment, developing training programmes, training materials development (manual & modules), computer, training and facilitation techniques and evaluating effectiveness of training.
The main task of the office remain development and maintenance of the monitoring and evaluation system and database of the programmes performance as of the should have the necessary tools and systems to guide planning, for monitoring and evaluation of the organisation's programmes' performance.
The office needs to be very competent with spread shhets and database as he/she handles data which needs manipulation and analysis to guide planning. The office should be able to develop relevant data collection tools based on the selected key progress/impact indicators. The training needs should also addressing proper setting up of the database so that will allow manipulation of the data to produce the required results.
Overall the office should be able to produce materials, which enhances transparency within the organisation, about the importance of the work of RSDA Programmes, and secure/maintain open relationships with other organisations and the general public. Therefore, the officer needs to be pro-efficient in the use of writing tools as he is expected to produce publicity materials. RSDA strives to concretize and streamline its PR strategy. From and from RSDA should also agree on waht exactly its PR material should look like.
The role and duty of a secretary is to perform all secretarial duties and professional filling and typing work to assist the administrative of the programmes.
The office is also tasked with communication and filling systems for the records of the organisation. Therefore the officer should have sound on training on the application of information technology and filling systems (electroninc and hard copies).
